Cancellation Policy

Booking & Weather Policy A signed agreement and a 50% non-refundable retainer are required to reserve your event date. The remaining balance is due 7 days prior to your scheduled event. Reservations are confirmed only after the retainer has been received. As our experiences are designed primarily for outdoor settings, clients are responsible for securing an alternate covered or indoor location in the event of inclement weather. If weather conditions are expected to impact your event, we will work with you to relocate the setup to your designated backup location whenever possible. To cancel or request a reschedule, please contact us at least 48 hours prior to your event. Rescheduling requests are subject to availability and must occur within 90 days of the original event date. The non-refundable retainer will be applied toward the new date if the reschedule request is made within the required notice period. Travel: Events outside our standard service area may incur a travel fee. Late Arrival: Your reservation time begins at the scheduled start time, regardless of guest arrival. Damage: Clients are responsible for any lost, stolen, or damaged décor, furniture, or rental items. Food Safety: Charcuterie and other perishable foods should be enjoyed promptly. The Gathering Co. is not responsible for food left out beyond recommended serving times. Weather Safety: For the safety of our team and guests, events may not be set up during severe weather conditions, including heavy rain, lightning, high winds, or other hazardous conditions. Alcohol Policy The Gathering Co. does not provide, sell, or serve alcoholic beverages. Clients are welcome to provide their own alcohol where permitted by law and the event venue. The Gathering Co. assumes no responsibility or liability for the consumption, service, or effects of alcoholic beverages brought by clients or their guests. It is the client's responsibility to ensure compliance with all applicable laws, venue policies, and age restrictions regarding alcohol. Alcohol is prohibited in many public parks and venues unless expressly permitted. Clients are responsible for verifying and complying with all park rules, venue policies, and local regulations before bringing alcoholic beverages to the event.
